Optimization Strategy

Seven principles guided every scheduling decision. Each one earns its place on the calendar — nothing is aesthetic, everything is operational.

Focus blocks are placed Tue and Thu mornings when Sarah's cognitive load is highest. They are held with the same status as external meetings — non-negotiable, non-movable without explicit executive approval.
All 1:1s consolidate into Wednesday. Client calls cluster in the late morning. Internal reviews sit together in the afternoon. Fewer transitions means fewer wasted minutes of ramp-up.
Anything requiring judgment, negotiation, or long-range thinking is scheduled between 08:30 and 11:30. Tactical items — approvals, standups, updates — are pushed to the afternoon.
Travel days no longer share the calendar with unrelated meetings. Buffer time absorbs delays, allows for prep review, and prevents the domino effect that used to derail entire afternoons.
Prep blocks sit immediately before the meetings they support, containing the brief, agenda, and desired outcome. Sarah walks in prepared, on time, and never re-reads the calendar to remember the purpose.
12:30–13:15 is held every day. It is the recovery window that keeps the afternoon productive rather than a slow decline into fatigue.
A 90-minute review of decisions, outstanding items, and priorities for the next week ensures no dropped threads and no Monday scramble.
